How To Submit A Database Request

In partnership with the UM Foundation, the UM Alumni Association has transitioned to a new database system, CRM Advance. This transition may impact the length of time it takes to complete data requests. We are currently requiring a minimum notice of 10 business days for requests to be fulfilled. Please plan accordingly when submitting your requests as we work through this conversion. Thank you in advance for your understanding and patience.

Step 1: Submit Your Request

  • Fill out the database request form.
  • Collect your content (verbiage + images) - be sure to have your dean or department chair sign off on it!
  • Email content to alumnidatarequests@umontana.edu. Please complete this step at least 10 business days before your email is scheduled to release.
  • Please refrain from designing your own emails. The software we use requires all the content to be separate before we start building, and we build all emails to comply with accessibility standards and requirements. We will consult with you along the way to make sure you are very happy with your finished email!

Step 2: Alumni Builds Your Email

  • Sit back and relax while our designer builds the perfect email for your audience!
  • Watch you inbox for a draft of your perfect email.
  • Oh, it's not quite perfect, you say? Reply to the designer with any revisions.

Step 3: Approve and Send

  • Once your email is up to snuff, send your final approval to Alumni.
  • Alumni will schedule your email to send to your chosen audience via our fancy-pants email software
  • Your email is sent out into the world! Fly, little email, fly!
