President's Room Reservation

  Welcome to the Presidents Room in Brantly Hall!  

The scheduling and use of this room is maintained by the Office of Alumni Relations and Alumni Association. Alumni Relations staff are not available to manage your event. All arrangements, i.e. room setup, catering, equipment, etc. is the responsibility of the party reserving the space. If you need to change the configuration of the room in any way, please return the tables and chairs to their original positions before leaving the room. There is a Brantly Hall Organizational binder available in the room for reference.

The following guidelines are for your information:

Room Capacity is 102 persons.

The Presidents Room contains eighteen modular conference tables, ten of which are 30"x60" rectangles (four mobile) and eight of which are 30"x60" half-circles (two mobile). The tables are composed into a large 60"x240" racetrack seating sixteen, a medium 60"x150" racetrack seating ten, a small 60"x90" racetrack seating six,and a 60" circle seating four (all armless chairs). There are an additional six conference tables on mobile bases (two 30"x60" rectangles & four 30"x60" half-circles) in the storage closet in the foyer.

There are thirty-six chairs in the room, four of which are armless (60" circle). There are an additional fourteen chairs in the storage closet in the foyer. Please allow for two chairs per table in each configuration.

There are six club chairs with throw pillows, one coffee table, one set of three vases and plate, two end tables, two lamps, four tower fans and two clocks in the room.

If any refreshments, less water, are to be served in the Presidents Room, the occupant must coordinate with the Office of Alumni Relations and Alumni Association at the time of reservation to have the room cleaned following the event. Neither food nor drinks may be placed on the piano.

Please have consideration and courtesy for others who use the Presidents Room by returning it to the state in which it was found, including furniture, lights and doors. Any room setup must be coordinated by the individual/s reserving the room and Facilities Services. In addition, Alumni Association staff are not available to manage events. All arrangements, i.e. setting up the room, meeting with catering, requests for equipment, etc. is the responsibility of the party reserving the Presidents Room.

If an event occurs between 5 p.m. and 8 a.m. on a weekday or any time on a weekend, the occupant must coordinate with the Office of Alumni Relations and Alumni Association at the time of the reservation to have the occupant meet a Campus Safety officer to unlock and lock the room.

If a reservation is to be cancelled, the courtesy of a 24-hour notice is appreciated.

Any discrepancies or damage to the room should be promptly reported to the Office of Alumni Relations and Alumni Association at 406-243-5211.
